FringeTrax, LLC ("FringeTrax," "we," "us," or "our") operates the FringeTrax mobile application (the "App"). This Privacy Policy explains how we collect, use, store, and protect your information when you use our App.

By using FringeTrax, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the App.

1. Information We Collect

Personal Information

When you create an account and use FringeTrax, we may collect the following personal information:

  • Full name, email address, and display name
  • Profile photo URL (if provided)
  • S-Corp legal name, EIN (Employer Identification Number), and business address
  • Phone numbers for shareholder employees

Financial and Business Data

The core function of FringeTrax is to help you track fringe benefits. We store the financial and business data you enter, including:

  • Fringe benefit amounts across 24 benefit categories (health insurance, dental, vision, retirement contributions, HSA, and others)
  • Home office utility expenses and deductible percentages
  • Business travel costs and business-use percentage calculations
  • Receipt amounts and expense categories
  • Rental rates (Augusta Rule tracking)
  • Ownership percentages for shareholders

Documents and Media

  • Receipt photos and documents (JPEG, PNG, WebP, and PDF formats, up to 10MB per file)
  • Meeting agendas, minutes, and decisions
  • Strategic planning documents

Technical and Device Information

  • Device FCM tokens (used to deliver push notifications)
  • Authentication session data
  • Basic usage data to help us maintain and improve the App

2. How We Collect Information

Directly From You

We collect information that you provide directly when you:

  • Create an account using email/password, Google OAuth, or Apple Sign-In
  • Set up your S-Corp profile and add shareholder employees
  • Enter fringe benefit amounts, expenses, and other financial data
  • Upload receipt photos or documents
  • Create meeting records or strategic planning entries

Automatically

We automatically collect certain technical information when you use the App, including:

  • Device tokens for push notification delivery
  • Authentication and session information necessary to keep your account secure

3. How We Use Your Information

We use the information we collect to:

  • Provide the Service: Store and organize your fringe benefit data, calculate totals, and generate reports to help you track S-Corp fringe benefits throughout the year
  • Send Notifications: Deliver push notifications about reminders, updates, and other relevant information you have opted into
  • Authenticate Your Account: Verify your identity and maintain secure access to your data
  • Improve the App: Understand how the App is used so we can fix issues, improve performance, and develop new features
  • Respond to Requests: Address support inquiries, data deletion requests, and other communications from you

4. Data Storage and Security

Your data is stored using Supabase, a hosted infrastructure platform that provides our PostgreSQL database, authentication services, and file storage. Supabase data centers employ industry-standard security measures.

We implement the following security measures to protect your data:

  • Row-Level Security (RLS): Database-level policies ensure that users can only access their own data. No user can view, modify, or delete another user's records.
  • Encrypted Connections: All data transmitted between the App and our servers is encrypted using TLS/SSL.
  • Secure File Storage: Receipt images and uploaded documents are stored in Supabase Storage with access controls that restrict files to their owners.
  • Authentication Security: We support secure authentication through email/password, Google OAuth, and Apple Sign-In, all managed through Supabase Auth.

While we take reasonable measures to protect your information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.

5. Third-Party Services

FringeTrax uses the following third-party services to operate:

  • Supabase: Database hosting, user authentication, and file storage
  • Google: OAuth authentication (Google Sign-In)
  • Apple: Authentication (Apple Sign-In)
  • Firebase Cloud Messaging (FCM): Push notification delivery

These services have their own privacy policies governing how they handle data. We encourage you to review their respective policies.

We do not sell, rent, or trade your personal information to any third party. We do not share your data with advertisers or data brokers. Your financial and business data is used solely to provide the FringeTrax service to you.

6. Data Retention

  • Active Accounts: Your data is retained for as long as your account remains active and you continue to use the App.
  • Soft Deletes: When you delete records within the App (such as individual benefit entries or receipts), we may use soft deletes to maintain audit trails. Soft-deleted data is not visible to you but may be retained in our database for data integrity purposes.
  • Account Deletion: If you request full account deletion, we will permanently remove your personal data and associated records. You can request this through our Data Deletion Request page.
  • Legal Obligations: We may retain certain data as required by law or for legitimate business purposes such as fraud prevention.

7. Your Rights

You have the following rights regarding your data:

  • Access: You can request a copy of the personal data we hold about you.
  • Correction: You can update or correct inaccurate information through the App or by contacting us.
  • Deletion: You can request deletion of your account and all associated data by submitting a request through our Data Deletion Request page. We will process deletion requests within 30 days.
  • Data Portability: You can request an export of your data in a portable format.

8. Children's Privacy

FringeTrax is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly. If you believe a child under 13 has provided us with personal information, please contact us.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make changes, we will update the "Last Updated" date at the top of this page. For significant changes, we may notify you through the App via push notification or an in-app message.
